Pick a date. Summer might be the only time available for some families, and it usually is the best season, because you can have your reunion outdoors and under a tent to keep everyone cool and in the shade; while having room to plan for other activities outside of the tent.
Make sure you pick a private location, so everyone can relax and be themselves, while also proving a safe place for the tent and accessories from vandalism.
Next you should form a budget, so you are not charging family to come and enjoy each others company.
